Paint Safety Data Sheet Requirements Explained

A paint tin can look straightforward, but the product inside may contain flammable solvents, hazardous ingredients or components that need specific handling. Understanding paint safety data sheet requirements helps homeowners, painters, maintenance teams and site supervisors choose, store and apply coatings with the right controls in place.

For a DIY project, that might mean checking ventilation and selecting suitable gloves before opening a coating. On a trade or industrial site, it can also mean maintaining an accessible chemical register, training workers and having current documentation available if there is a spill, exposure or emergency.

What is a paint safety data sheet?

A Safety Data Sheet, commonly called an SDS, is the formal document that explains a chemical product’s hazards and how it should be handled safely. It is not a marketing brochure and it is not the same as a Technical Data Sheet.

A Technical Data Sheet focuses on coating selection and application. It may cover suitable substrates, surface preparation, mixing, thinning, coverage, recoat windows and curing conditions. An SDS focuses on health, safety, storage, transport considerations, first aid, firefighting and disposal. Both documents matter when selecting and using a paint system.

In Australia, SDSs follow a standard 16-section format under the Globally Harmonised System of Classification and Labelling of Chemicals, often referred to as GHS. This makes it easier to find critical information quickly, even when different products are being used on the same project.

For example, the SDS can identify whether a paint is classified as flammable, whether vapours require additional ventilation, what personal protective equipment may be suitable, and what to do if product enters the eyes or is spilled.

When is an SDS required for paint?

Not every can of paint is classified in the same way. Water-based interior wall paints, solvent-based roof coatings, chlorinated rubber pool paint, epoxy components, varnishes and industrial coatings can have very different chemical profiles. Whether an SDS is required depends on whether the product is classified as a hazardous chemical under Australian work health and safety requirements.

Manufacturers and importers of hazardous chemicals must prepare a current SDS. Suppliers must provide the current SDS when the product is first supplied to a workplace and when it is requested. If you are purchasing coatings for a business, contractor crew, strata maintenance programme or industrial facility, ask for the SDS before work starts – particularly where multiple products, thinners, cleaners or two-pack components are involved.

A consumer buying a small quantity for normal household use may not have the same workplace documentation duties. Even so, reading the SDS remains sensible. It provides the practical details that may not fit on a product label, especially for specialist coatings.

Paint safety data sheet requirements for workplaces

Workplaces that use hazardous paint products need more than a folder of documents stored in an office. The SDS must be readily accessible to workers and emergency services where needed. A current SDS register should cover hazardous chemicals kept or used at the site, including paint, primers, hardeners, thinners, solvents and cleaning products.

A practical approach is to keep digital copies in a system workers can access on site, while ensuring the information remains available if internet access is unreliable. Larger workshops, maintenance facilities and construction sites may also keep a clearly labelled hard-copy register near the chemical storage area or site office.

The SDS should be current. Under the model Australian WHS framework, an SDS for a hazardous chemical must be reviewed at least every five years, or earlier if new safety information becomes available. Do not assume an old PDF saved from a previous job is still current. Request the latest version from the supplier or manufacturer when ordering product.

Workplace responsibilities generally extend to:

  • keeping an up-to-date hazardous chemical register
  • making SDSs accessible to workers who may be exposed
  • ensuring containers remain correctly labelled
  • assessing risks from storage, handling and application
  • providing suitable instruction, training and supervision
  • putting emergency procedures in place for spills, fires and exposure.

The exact controls depend on the product, quantity, work environment and task. A single tin used outdoors is different from regular spray application in an enclosed workshop, or a storeroom holding multiple cartons of flammable coatings.

The label and SDS work together

The label is the first point of reference. It may include hazard pictograms, signal words, hazard statements, precautionary statements and supplier information. Never remove or paint over a label, and do not decant coatings into unlabelled containers.

The SDS provides the detail behind those warnings. If a label indicates a flammable liquid, Section 5 of the SDS outlines suitable firefighting measures. If it warns of skin or eye irritation, Sections 4 and 8 provide first-aid guidance and exposure-control information. The label gets attention quickly; the SDS helps workers act correctly.

What to check before applying a coating

Reading every line of an SDS is not always necessary for a small project, but certain sections deserve attention before opening the product. Start with the product identification in Section 1 and confirm it matches the exact coating, component and pack size you have purchased. Two-pack systems often have separate SDSs for the base and hardener, and both need to be checked.

Then review the hazards in Section 2, first-aid measures in Section 4, handling and storage in Section 7, and exposure controls and personal protection in Section 8. These sections give you the information needed to set up the work area safely.

For a solvent-based coating, this may mean working away from ignition sources, keeping the area well ventilated and avoiding enclosed spaces where vapour can build up. For epoxy products, it may mean paying close attention to skin protection and avoiding contact with uncured material. The correct response depends on the specific product, not simply whether it is called “paint”.

The application instructions in the Technical Data Sheet remain equally important. An SDS does not tell you whether a roof needs cleaning, whether a pool surface requires a compatible primer, or the correct mixing ratio for a two-pack coating. Use the SDS and Technical Data Sheet together.

Storage, spills and disposal need planning

Poor storage creates avoidable risk and can affect product condition. Keep coatings in their original, tightly closed containers, away from direct heat, ignition sources and incompatible chemicals. Store them where children, pets and unauthorised people cannot access them. Where an SDS specifies storage conditions, follow those instructions rather than relying on general assumptions.

For workplaces, storage quantities and the type of chemicals held may trigger additional requirements under WHS rules, Australian Standards or site procedures. Flammable products, in particular, may require dedicated storage arrangements. If you are unsure, seek advice before accumulating stock.

For spills, the SDS will identify suitable containment and clean-up measures. Do not wash paint, solvents or cleaning residues into stormwater drains, gutters or garden areas. Collect waste using the appropriate method, ventilate the area where required and dispose of materials through the relevant local waste or hazardous-waste channel.

Leftover paint should not be treated as ordinary rubbish until you have checked the SDS and your local disposal rules. Cured paint residue, empty containers and liquid product can be managed differently. Keeping only the quantity needed for the job reduces both waste and storage issues.

Common mistakes that create unnecessary risk

One common mistake is treating all water-based coatings as harmless. Lower odour does not automatically mean no safety controls are needed. Another is relying on a dust mask for solvent vapours or spray mist when the SDS calls for a different level or type of respiratory protection.

Mixing products from different systems without checking compatibility is also risky. A thinner, cleaner or hardener may introduce separate hazards and may not be suitable for the coating being used. Use only the products specified in the relevant Technical Data Sheet, and keep the SDS for each one.

Finally, do not use an SDS as a substitute for site-specific planning. High-volume application, spraying, confined areas, hot weather, poor ventilation and work near occupied areas can change the level of control required. Professional painters and industrial teams should assess the task, the environment and the people who may be affected before work begins.

Getting the right documents before you buy

For specialist coatings, clear documentation saves time and avoids guesswork. Before purchasing, confirm the product is suitable for the surface, then obtain the current Technical Data Sheet and SDS for the exact coating system.
